Terms of Service
Last updated: 22 July 2026
1. Who we are
scanhive.net ("Scanhive", "we", "us") is a document-capture service that receives scans from multi-function printers and delivers them to email addresses and other destinations you configure. The service is owned and operated by eNetIdeas Ltd, a company registered in England and Wales (company number 07465254), registered office 3rd Floor, 86–90 Paul Street, London, EC2A 4NE — enetideas.com. Questions about these terms: [email protected].
2. The service
Scanhive provides an SMTP intake your printers submit scans to, plus routing, delivery, and optional processing (such as OCR) and storage. We deliver scans only to recipients you have added and who have verified their address, and to destinations you have connected. The service is provided on an "as available" basis; we work hard on reliability but do not guarantee uninterrupted operation.
3. Your account
- You must provide accurate information and keep your credentials (including printer SMTP credentials) confidential. You are responsible for activity under your account.
- You must be authorised to act for the organisation you register.
- We may suspend accounts that jeopardise the service or other customers (for example, abuse of the relay, non-payment, or unlawful use), normally with notice where practical.
4. Acceptable use
- Use Scanhive only to transmit documents you have the right to transmit.
- No unlawful content, malware distribution, harassment, or spam. Recipient verification exists precisely so scans cannot be sent to people who have not opted in — do not attempt to circumvent it.
- No attempts to probe, overload, or disrupt the service or other tenants.
5. Plans, fees and changes
Free and paid plans are described on our pricing page. Paid plans are billed in advance per billing period. Plan limits (printers, scans, features) are enforced by the service. We may change prices or plan composition with at least 30 days' notice; changes apply from your next billing period. You can cancel at any time, effective at the end of the current period.
6. Your content
Scanned documents belong to you. We process them only to provide the service (receive, scan for viruses, process, deliver, and — where you have enabled it — store). We claim no ownership of, and no licence over, your documents beyond what is needed to operate the service. Handling of personal data is described in our Privacy Policy.
7. Availability and support
We aim for high availability but the service depends on third parties (email providers, cloud infrastructure) and scheduled maintenance. Support is provided by email at [email protected].
8. Liability
Nothing in these terms excludes liability that cannot be excluded by law (including for death or personal injury caused by negligence, or fraud). Subject to that: we are not liable for indirect or consequential loss, loss of profit, or loss of data caused by events outside our reasonable control; and our total liability arising out of the service in any 12-month period is limited to the fees you paid us in that period (or £100 if you are on a free plan). You are responsible for keeping originals or copies of documents you scan — a relay service is not a backup service unless you have enabled storage.
9. Termination
You may close your account at any time from the dashboard or by emailing us. On closure we delete your stored documents and account data in line with the retention periods in the Privacy Policy. We may terminate with 30 days' notice, or immediately for material breach of these terms.
10. Changes to these terms
We may update these terms from time to time. For material changes we will give at least 30 days' notice by email or in the dashboard. Continued use after the effective date constitutes acceptance.
11. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except where mandatory consumer law in your country provides otherwise.
